Your information and this app

Who we are

The company you work with uses this app to run its work: crews, sites, safety, timesheets and pay. This notice explains what it keeps about you, why, and who can see it.

What we keep

  • Your name, mobile, email, date of birth, home address and emergency contact.
  • Your tickets, licences and inductions, their expiry dates, and the copies you upload.
  • Your PPE sizes, so your gear is ready.
  • Not your tax file number, bank or super details: this app never asks for or keeps them. Payroll collects them from you directly.
  • The hours you work, the sites and projects you're on, plant you operate, and the forms, Take 5s, pre-starts, photos and signatures you add.
  • Health information only where safety needs it: injury and incident reports, and fitness-for-work details you choose to give.
  • When you signed in and on what device, and which records you created or changed.

What we don't do

The app doesn't track where you are. We don't sell your information or use it for advertising.

Why

  • To employ or engage you, and pay you correctly.
  • To keep you and others safe: inductions, competencies, incidents and pre-starts, as work health and safety law requires.
  • To plan crews and get you ready for a site.
  • To show a client the hours worked on their project so they can approve them.
  • To keep the records the law requires.

Who can see it

Inside the company, each person sees only what their role needs. Supervisors see hours and site records, but never pay rates. Medical records and HR files (such as contracts and work-rights documents) are seen only by the people the directors name for them.

Outside the company: the client on your project sees your name, hours and site records for that project; our accountant, the tax office and your super fund get what's needed to pay you; and a regulator such as WorkSafe WA gets what the law requires. The app's data is stored in Australia.

How it's protected

Personal details that need it are encrypted. Everyone signs in (office staff can add two-step sign-in), and every change is recorded with who made it. Backups are encrypted too.

How long we keep it

While you work with us, and afterwards for as long as the law requires: for example, employee records for 7 years under the Fair Work Act. Then it's deleted.

If you don't give us something

You don't have to give us everything, but without some details we can't do our part: for example, without current tickets we can't put you on some jobs. Payroll will tell you separately what it needs to pay you (such as your tax file number), and collects it directly.

Seeing or fixing your details

You can see your own details and documents in the app (My work → My documents). To see anything else we keep about you, or to fix something that's wrong, contact the office. We'll reply within 30 days.
